How to prepare documents for an embassy
Most embassies and consulates in Canada will not accept Manitoba-issued documents as they are. A birth certificate from Vital Statistics, a U of M transcript, an MPI driver record, or a court order from the Manitoba courts has to be translated by a certified translator, then authenticated, and in some cases legalized at the destination country's consulate. The steps are predictable, but missing one usually means the file is rejected and the process starts over.
Standard checklist
- Pinpoint the destination country and confirm with the receiving institution whether an apostille is acceptable or whether full consular legalization is still required.
- Order a certified Manitoba translation into the destination language. Most files we handle are English-to-X; French-to-X is available for Franco-Manitoban records.
- Add notarization by a Manitoba notary public when the consulate or foreign authority asks for the translator's certification to be notarized.

Canada joined the Hague Apostille Convention on 11 January 2024, which simplified consular paperwork for Manitoba clients sending documents to Convention countries.
