Our services

Translation services we provide for embassy documents

Translation Agency of Manitoba is an ATIM-certified shop based in Winnipeg. For embassy and consular workflows we run the full chain in-house: certified translation in 50+ languages, notarization with Manitoba notaries public, authentication via Global Affairs Canada or the Manitoba Vital Statistics Agency, and consular legalization where the destination country still requires it.

Process

How to prepare documents for an embassy

Most embassies and consulates in Canada will not accept Manitoba-issued documents as they are. A birth certificate from Vital Statistics, a U of M transcript, an MPI driver record, or a court order from the Manitoba courts has to be translated by a certified translator, then authenticated, and in some cases legalized at the destination country's consulate. The steps are predictable, but missing one usually means the file is rejected and the process starts over.

Standard checklist

  1. Pinpoint the destination country and confirm with the receiving institution whether an apostille is acceptable or whether full consular legalization is still required.
  2. Order a certified Manitoba translation into the destination language. Most files we handle are English-to-X; French-to-X is available for Franco-Manitoban records.
  3. Add notarization by a Manitoba notary public when the consulate or foreign authority asks for the translator's certification to be notarized.
  4. Authenticate the original or notarized document via Global Affairs Canada (Hague apostille since 11 January 2024) or, for Manitoba-issued vital records, the Manitoba Vital Statistics Agency or other provincial competent authority.
  5. If the destination is non-Convention, submit the authenticated package for legalization at that country's consulate.
  6. Confirm acceptance with the receiving institution overseas before couriering originals out of Manitoba.

Canada joined the Hague Apostille Convention on 11 January 2024, which simplified consular paperwork for Manitoba clients sending documents to Convention countries. A single apostille from Global Affairs Canada now replaces the full legalization chain for most destinations. Non-Convention countries (UAE, Saudi Arabia, Egypt, Vietnam, Lebanon and a handful of others) still need the older full route. Each country tile above shows which route is currently in force.

Countries: China, India, Philippines, Russia, Spain, Türkiye, Ukraine Countries: Egypt, Saudi Arabia, UAE, Vietnam
Steps from Winnipeg: ATIM-certified translation, optional notarization, then apostille via Global Affairs Canada or the Manitoba competent authority. One stamp covers the chain. Steps from Winnipeg: ATIM-certified translation, notarization, authentication by Global Affairs Canada, then consular legalization at the destination country's embassy or consulate.
Time: 1-3 weeks from Winnipeg in standard processing. Time: 3-6 weeks depending on the consulate and courier schedule from Manitoba.
Manitoba note: vital records issued by Manitoba Vital Statistics need provincial authentication before federal apostille. Manitoba note: documents may be couriered Winnipeg-to-Ottawa for consular legalization; we manage the chain.

For any step in the chain - certified translation, notarization, authentication, legalization - contact our Winnipeg office or start an online order. We confirm the exact route, fee, and turnaround in writing before we begin.
